Change Management Taskboard

The Change Management Taskboard is used to complete access requests. It's kind of like home base for Provision Engineers; it’s the place where they go to work on all access requests. It can also be used by Personnel Managers to view and track the progress of personnel events.

 

 

To open the Change Management taskboard from the Home page, select Oustanding under the ACCESS REQUESTS heading.

To open the Change Management taskboard from any other page, go to the My Taskboards menu and select Access Requests. The Change Management taskboard is displayed (see picture below).

Requests and Events Menu

The requests and events list (circled on the image below) displays a list of outstanding access requests and personnel events. 

 

Search and Quick Filters

Search

Select the Search field and enter the information to you want to search for within the list. To search for the same information within another application:

  • Leave the information you entered in the search field and then select another application. 

You can search by request number, user name, the Identity's first name, or the Identity's last name, 

Quick Filters

Quick filters allow you to view and sort information to help you find requests and events more easily.

  • Status: By default, all outstanding access requests are displayed. To view access requests of other statuses, or to focus on access requests in a particular status, select this quick filter and pick a new option from the list.

  • Application: By default, all applications you have access to are displayed. To filter the list of requests to a specific filter, select this filter and pick another filter from the list.

  • More: This quick filter allows you to view access requests using the following options:

    • Today's Work: when this quick filter is selected, the list of requests is filtered to show only the recently created items.

    • Waiting On Me: when this option is selected, the list of requests is filtered to show the requests that require your input to be completed.

    • Assigned To Me: when this option is selected, the list is filtered to show only the items assigned to you.

When a quick filter is applied, a blue box appears around the filter to indicate it's currently being used to filter the list (see example below). Each of the selected quick filter options are used in combination with each other. For example, you could select both the Today's Work and Waiting On Me quick filters to see a list of requests that were created today and require your input so they can be completed

Access Requests/Events List

There are two types of requests listed within the Change Management Taskboard: Access Requests and Personnel Events.

ACCESS REQUESTS

A list of outstanding access requests is displayed in the "ACCESS REQUESTS" area by default. You will only see the access requests that you are authorized to see or work on. When viewing access requests, the requests are grouped by application with the oldest requests displayed at the top. You can change the view using the List View buttons as described below.

List View Buttons

The list of access requests can be displayed in either a grouped view or a list view. These options are not available for personnel events.

Grouped

This button (in the upper right corner of the Change Management Taskboard) allows you to view access requests grouped by application. Applications are ordered alphabetically and all related requests and events are displayed below the application name as shown in the example below:

List

This button (in the upper right corner of the Change Management Taskboard) allows you to view a "flattened" list of access requests. When this button is selected, access requests are displayed in order of the request number. You can sort by access request number, application name, Identity name, cycle time, or status by selecting any of the column headings.

 

PERSONNEL EVENTS

If you are also authorized to create or view personnel events, the "PERSONNEL EVENTS" area allows you to view personnel events by each type.

When viewing personnel events, the events are displayed in numerical order, but you can change how the list is sorted by selecting any of the column headings.

To view the details of an event:

  1. Select one of the personnel event types (Onboarding, Offboarding, Role Transitions, or Leaves of Absence) to see the events associated with that type.

  2. Select the event within the list on the right side of the page. The details page is displayed.
